Privacy Policy
Effective: October 15, 2026 · Last updated: October 15, 2026
CAFIO LLC ("Cafio," "we," "us") is a Utah limited liability company based in Orem, Utah. This policy explains what personal information we collect through cafio.com and our related sites, forms, emails, and calls, how we use it, and the choices you have. If you hire us, your signed agreement also covers project data and controls if it conflicts with this policy.
1. Information we collect
You give us: your name, email, phone number, company, role, project details, messages, files, scheduling details, job applications, and newsletter or survey sign-ups. Payments run through payment processors. We do not store full card numbers.
We collect automatically: IP address, device and browser type, pages viewed, referring page, approximate location, and how you interact with the site, using cookies and similar technologies.
From other sources: public business information, referrals, and platforms where you interact with us, such as social media.
Recordings and transcripts: we may record calls and video meetings, and use tools that record on-site sessions, for quality assurance, note-taking, and training. We tell you at the start of a call or meeting. If you prefer not to be recorded, say so and we will turn it off.
Sensitive information: we do not ask for it. Please do not send Social Security numbers, financial account numbers, or health information through forms or chat. If you do, tell us and we will delete it.
2. How we use information
- Respond to inquiries and book calls.
- Deliver, bill, and support our services.
- Run, secure, and improve our site and services.
- Measure site performance and marketing results.
- Send updates and marketing where you have asked for them or the law allows.
- Meet legal obligations, protect our rights, and resolve disputes.
We do not sell personal information.
3. AI, automation, and recording tools
We may use AI-powered tools, such as chat assistants, transcription, summaries, and form routing, along with tools that record sessions or meetings. If you chat with an automated assistant, we label it as one. We do not rely on AI alone to make decisions that significantly affect you. We choose vendors that limit use of our data to providing their service, and we use their privacy settings where options exist. Please do not share confidential or sensitive details in a chat window.
4. How we share information
- Service providers for hosting, analytics, forms, CRM and scheduling, email, communications, payments, project management, security, AI, and transcription. They act on our instructions and must protect the information.
- Our team, including contractors, who need it to do their work, under our direction.
- Professional advisers, such as lawyers, accountants, and insurers.
- Legal and safety needs, when the law requires it or to protect rights, safety, or property.
- Business changes, such as a merger or sale. The successor must honor this policy.
- Your agreement, such as marketing rights you grant in a Client Agreement, or a testimonial you give us.
Some advertising and analytics tools receive cookie identifiers or similar data. Some state laws call that "sharing" or "targeted advertising." You can opt out (see Sections 5 and 6).
5. Cookies and tracking
Cookies are small files stored on your device. We use three kinds:
- Essential: make the site work and keep it secure.
- Analytics: show us how visitors use the site.
- Marketing: measure ads and show relevant ones, where we run them.
You can control cookies through your browser settings, any cookie preference tool on our site, and ad-platform opt-outs. We honor browser opt-out signals, such as Global Privacy Control, where the law requires it. We do not respond to "Do Not Track" signals because no common standard exists. Blocking cookies may limit some features.
6. Your choices and rights
Wherever you live, you can ask us to tell you what personal information we hold about you, give you a copy, correct it, or delete it. You can also opt out of marketing, sharing, and targeted advertising, and withdraw consent you gave us.
- How: email hello@cafio.com with "Privacy Request" in the subject.
- Verification: we confirm your identity first to protect your information.
- Timing: we respond within the time the law requires, and as promptly as we reasonably can otherwise.
- Agents: you may use an authorized agent with your written permission.
- Appeals: if we deny a request, reply and say you disagree. We will review it again and respond within the time the law requires.
- No retaliation: we do not penalize you for using these rights.
- Limits: we may keep information we need for legal, tax, or accounting duties, disputes, or enforcing agreements. If we handle your information on a client's behalf, we will point you to that client.
- Marketing emails: every one includes an unsubscribe link. Service messages, such as updates to this policy or our terms, are not marketing and may still be sent.
California, Utah, and some other states give residents additional rights. We extend the rights above to everyone.
7. Keeping and protecting information
We keep personal information only as long as we need it for the purposes above, including legal, tax, accounting, and dispute needs. Then we delete or de-identify it. We use reasonable administrative, technical, and physical safeguards. No method is perfectly secure. If a breach affects your information, we notify you and authorities as the law requires.
8. Visitors outside the United States
Cafio operates from the United States. Our providers may process information in the United States and other countries. By using the site or contacting us, you understand your information will be transferred and processed there. Where local law requires a legal basis, we rely on contract performance, our legitimate interests in running and improving Cafio, your consent, or legal obligation. Contact us to use any rights available to you.
9. Children
Our site and services are for adults 18 and older. We do not work with children or knowingly collect personal information from anyone under 18. If you believe a child has sent us information, email hello@cafio.com and we will delete it.
10. Links and embedded content
Our site may link to or embed third-party content, such as videos, social feeds, scheduling tools, and maps. Those providers have their own privacy practices, and we do not control them.
11. Email, phone, and text
We contact you about your request by email, phone, or text. We send marketing emails where the law allows and always include an unsubscribe link and our mailing address. Service messages, such as policy and terms updates, project and billing notices, and replies to your requests, are not marketing, and we may send them even if you have opted out of marketing. We send marketing texts only with your prior consent, and you can reply STOP at any time.
12. Changes to this policy
We post updates here with a new date. For material changes, we notify people we have contact information for, or post a notice on the site.
